Research records from research conducted at the UO are public records and need to be retained based on the UO Records Retention Schedule. Ensuring the safekeeping and proper disposition (destruction for non-permanent records and transfer to University Archives for permanent records) of these administrative records is just as important as managing the research data. It reduces risk and document important actions within the framework of the functions of the university.
Grant Administration Records
- Send final reports to ORSA, as well as any other required documentation for research (these may vary for sponsored versus non-sponsored research).
- Records retention is based on content (subject matter), not on form (paper, email message, etc.) of the record. This means correspondence and related documentation (including email messages) need pertaining to human subjects records need to be retained for the same amount of time human subjects records are.
- See the section on grants and research records in the UO Records Retention Schedule for retention periods of specific records.
- Confidentially dispose of research materials that have a finite life. These records have a specific retention period based on requirements set forth by federal granting agencies or by the UO Records Retention Schedule.
